General

Worklio is a mobile-first staff scheduling app built for businesses with shift-based teams. It gives managers a fast, visual way to build and publish weekly schedules, and gives employees a clear, always-up-to-date view of when they're working — all from their phone.
Worklio is designed for any business where staff work in shifts — restaurants, hotels, cafés, retail stores, salons, gyms, cleaning services, and more. It supports three roles: Employees (who view and claim shifts), Managers (who build and manage schedules), and Owners or General Managers (who have full visibility across all departments and teams).
Worklio is available on Android and iOS (iPhone). It's a native mobile app optimized for smartphones, so managers and employees can access everything on the go.

Login & Access

No. Employees log in using their phone number and a one-time SMS verification code. There's nothing to set up and no password to remember — just enter your number, get a code, and you're in.
Managers also sign up using their phone number and an SMS verification code — no email or password required. After signing up, you can set up your business, add employees, and start building schedules right away.
Managers can update an employee's phone number directly from the employee management section of the app. The employee's schedule history and information are preserved when their number is updated.

Scheduling

Open the Schedule screen, navigate to the week you want, and tap any cell in the grid to add a shift for that employee on that day. You can set start and end times, or use the quick-add shortcuts for 4-hour, 6-hour, or 8-hour shifts. Long-press a shift to delete it. The total hours for each employee update automatically.
Yes. There's a "Copy Last Week" option that duplicates the previous week's full schedule into the current week. It's a great time-saver for teams with consistent recurring schedules.
Yes. Managers can edit schedules from the past 2 weeks in case of errors or adjustments. Schedules older than 2 weeks become read-only and can be accessed through the history view.
Yes. Managers can export the current week's schedule or both the current and previous week as a formatted PDF. You can print it or share it directly with your team from within the app.
Managers and Owners / GMs can access up to 6 months of schedule history. Employees can view their personal schedule history for the past 3 weeks.

Shift Change Requests

Yes. Employees can submit three types of shift change requests directly from their phone: add a new shift, modify the time of an existing shift, or cancel a shift entirely. Each request includes a reason so the manager has full context. Requests are submitted for the current day only, using a 15-minute time picker for precise times.
Managers see a pending count badge on their dashboard whenever new requests are waiting. Tapping it opens a review queue — filterable by department and sortable by status (pending, approved, rejected). Approving a request automatically updates the live schedule. Both the manager and employee receive a push notification when a decision is made.
Yes. As long as the request is still pending (not yet reviewed by a manager), the employee can cancel it from their request list.

Open Shifts

When a shift needs to be filled — for example, someone calls in sick — a manager can post it as an open shift. All employees immediately see it on their dashboard and can claim it with a single tap. The shift is confirmed automatically.
Yes. When a manager posts an open shift, employees receive a push notification on their phone so they can act on it immediately.

Employees & Hours

Yes — completely automatically. As shifts are added or removed from the schedule, each employee's total weekly hours update in real time. The weekly summary view shows hours per employee and department totals, so there's no manual math before payroll.
Yes. Managers can pause an employee (for a leave of absence, for example) rather than deleting them. Paused employees retain their history and can be reactivated at any time. Their past schedule data is always preserved.
Yes. Managers can import staff directly from their phone's contact list instead of entering each person manually. Select the contacts you want to add, review and edit their names and phone numbers, and confirm. Up to 50 employees can be imported at a time, and they're immediately ready to schedule. It's the fastest way to get a new team set up in Worklio.

Departments & Roles

Yes. Worklio supports multiple departments (for example: Front Desk, Restaurant, Housekeeping, Kitchen). Owners and General Managers can view all departments together or filter by a single department — seeing total hours, employees, and complete schedules for any part of the operation.
A Manager handles scheduling for their specific department — creating shifts, managing their team, posting open shifts, and viewing their department's data. An Owner or General Manager has all manager capabilities plus cross-department visibility: they can switch between departments or view everything at once.

Payroll & Export

From the Payroll Export screen, select your pay period (weekly or bi-weekly), choose a department or view all, then tap Export CSV. The file includes each employee's first name, last name, department, and total hours in decimal format (e.g. 8.50) — ready to paste directly into your payroll software. You can share it instantly via email, cloud storage, or any app on your phone.
Yes. The Payroll Export screen lets you toggle between weekly and bi-weekly pay periods. In bi-weekly mode, Worklio combines two consecutive weeks of hours into a single export — covering the full pay period in one file.
Yes. From the Past Schedules (History) screen, managers can export any previous week's schedule as a formatted PDF. It includes all employees who worked that period and is shareable via email, print, or any file-sharing app.
